# Find and Filter Scheduled Activities

## Overview

Use search and filters to focus the AssetIQ schedule on the activities, assets, resources, locations or dates relevant to your work.

Filters can make a busy calendar easier to understand, but they may also hide important commitments. Before deciding that a resource is free, confirm which filters are active and review its complete schedule.

## Before you begin

Before searching or filtering, confirm that:

- You are signed in to the correct AssetIQ organization
- You can access the Scheduling or Resource Planning module
- The required date or reporting period is known
- You know which resource, location or activity is relevant
- Your role permits access to the underlying records

Your permissions may prevent some activities or resources from appearing.

## Open the schedule

1. Sign in to AssetIQ.
2. Open **Scheduling**, **Resource Planning**, **Calendar** or the corresponding module.
3. Confirm the current calendar view.
4. Check the displayed date range.
5. Review whether any filters are already active.

The calendar may retain filters from your previous session, depending on the current configuration.

## Search for an activity

Where a search field is available:

1. Open the Scheduling calendar or list.
2. Select the search field.
3. Enter a relevant identifier or name.
4. Review the matching activities.
5. Open the required result.

You may be able to search using:

- Activity reference
- Activity title
- Asset number
- Asset description
- Serial number
- Rental-job reference
- Maintenance-order reference
- Work-order reference
- Inspection reference
- Location
- Responsible user
- Another configured value

Use a unique identifier whenever possible.

## Search using an asset number

The asset number is usually the most reliable way to find activities for one asset.

For example:

1. Enter `CRN-0042`.
2. Review the displayed calendar entries.
3. Confirm that every entry relates to the correct asset.
4. Open individual activities where more detail is needed.
5. Clear the search when finished.

Avoid searching only for generic descriptions such as “crane” when many similar assets exist.

## Search using an activity reference

Use a rental, maintenance, work-order or inspection reference to locate a specific activity.

Examples might include:

- `RNT-0142`
- `MO-0087`
- `WO-1042`
- `INS-0128`

The reference formats shown in your environment may differ.

## Search using a keyword

A keyword search may help find activities by:

- Customer or project
- Site
- Resource description
- Activity title
- Responsible person

If too many results appear, combine the search with filters such as activity type, date or location.

## Apply filters

To apply filters:

1. Open the filter panel or filter controls.
2. Select the required criteria.
3. Choose one or more values.
4. Select **Apply**, **Search** or the corresponding action where required.
5. Review the updated schedule.
6. Confirm the displayed record count where available.

Active filters may appear as tags, chips, highlighted fields or a numeric indicator.

## Common filters

Depending on the configuration, filters may include:

- Date range
- Asset
- Resource group
- Asset category
- Activity type
- Status
- Location
- Business unit
- Responsible person
- Priority
- Availability
- Conflict status
- Customer or project
- Another configured criterion

Use only the filters displayed in your AssetIQ environment.

## Filter by date

Select the period you need to review.

This may include:

- Today
- This week
- Next week
- This month
- Custom date range
- Another predefined period

When entering a custom range:

1. Select the start date.
2. Select the end date.
3. Apply the filter.
4. Confirm the displayed period.
5. Check for activities continuing into or out of the range.

An activity may start before the selected period and continue into it. Confirm how AssetIQ handles these overlapping records.

## Filter by asset or resource

Use this filter to view the schedule of one or more resources.

You may be able to select:

- Individual asset
- Asset category
- Resource group
- Equipment type
- Facility
- Another resource type

Confirm the resource using a unique asset number when similar descriptions exist.

## Filter by activity type

Use activity-type filters to display records such as:

- Rentals
- Maintenance
- Work orders
- Inspections
- Audits
- Planned unavailability
- Other configured activities

This can help answer questions such as:

- Which assets are scheduled for maintenance this week?
- Which rentals are active next month?
- Which inspections are due at this location?
- Which resources have planned unavailability?

> **Important:** Filtering for one activity type hides other commitments. An asset with no rentals displayed may still have maintenance, inspection or unavailability records.

## Filter by status

Possible statuses may include:

- Draft
- Scheduled
- Confirmed
- Pending
- In Progress
- Active
- Overdue
- Completed
- Cancelled
- Unavailable

Use the exact values displayed in the filter.

For example:

- Filter for **Active** to view work currently underway
- Filter for **Overdue** to identify delayed activities
- Filter for **Scheduled** to review upcoming work
- Include **Cancelled** when reviewing historical planning changes

## Filter by location

Use the location filter to focus on:

- Site
- Warehouse
- Workshop
- Office
- Project
- Region
- Another configured location

Check whether the filter represents:

- Resource’s home location
- Current physical location
- Scheduled activity location
- Rental destination
- Maintenance location

The meaning depends on the underlying record and configuration.

## Filter by business unit

Where several entities or business units share AssetIQ, use this filter to review only the relevant organizational area.

Your role may limit you to specific business units automatically.

## Filter by responsible user

Use the responsible-user filter to review activities assigned to or coordinated by a particular user.

Depending on the activity type, this might represent:

- Rental coordinator
- Maintenance owner
- Inspector
- Assigned user
- Activity creator
- Another responsible role

Confirm what the field represents before interpreting the results.

## Filter by priority

Use priority filters to identify work requiring attention.

Possible values may include:

- Low
- Normal
- Medium
- High
- Urgent
- Critical

Priority definitions should be applied consistently across your organization.

Do not assume that every high-priority activity has a scheduling conflict.

## Filter by conflict or availability

Where available, use this filter to display:

- Available resources
- Unavailable resources
- Conflicting activities
- Resources with warnings
- Unscheduled activities
- Another scheduling condition

Review the details of each conflict rather than relying only on the indicator.

## Combine filters

Combining filters can provide a focused operational view.

Examples include:

| Purpose | Example filters |
| --- | --- |
| Upcoming maintenance at Melbourne workshop | Activity Type: Maintenance; Location: Melbourne Workshop; Date: Next 30 Days |
| Overdue rentals | Activity Type: Rental; Status: Overdue |
| Inspections for one asset group | Activity Type: Inspection; Category: Mobile Cranes |
| High-priority work this week | Priority: High; Date: This Week |
| Schedule for one asset | Asset: CRN-0042; Date: Next 90 Days |

If no results appear, remove one filter at a time to identify which criterion is excluding the records.

## Understand filter logic

When several filters are applied, AssetIQ may require activities to match all selected criteria.

For example:

- Location = Melbourne
- Activity Type = Maintenance
- Status = Scheduled

The result may include only scheduled maintenance activities at Melbourne.

If multiple values are selected within one filter, AssetIQ may include activities matching any selected value. Confirm the behavior in the current interface.

## Review active filters

Before interpreting the schedule, check:

- Filter tags or chips
- Highlighted selections
- Search text
- Date range
- Location selector
- Resource group
- Activity-type legend
- Hidden or collapsed filter panel

A filtered schedule is not the complete schedule.

## Clear filters

To restore the broader schedule:

1. Select **Clear Filters**, **Reset**, **Show All** or the corresponding action.
2. Remove the search text.
3. Confirm the default date range.
4. Review the restored schedule.

If results still appear limited, refresh the page and check organization or permission settings.

## Change a filter

To change a filter:

1. Open the filter panel.
2. Remove the existing value.
3. Select the new value.
4. Apply the filter.
5. Confirm the updated results.

Recheck the date range after changing views because some calendar views may adjust it automatically.

## Save a filtered view

If AssetIQ supports saved filters or views:

1. Apply the required filters.
2. Select **Save View**, **Save Filter** or the corresponding action.
3. Enter a clear name.
4. Confirm whether the view is private or shared.
5. Save it.
6. Test the saved view.

Example names include:

- Melbourne Maintenance – Next 30 Days
- Active Rentals – All Locations
- Overdue Inspections
- CRN Fleet – Quarterly Schedule

Do not create duplicate or unclear saved views.

Only include this guidance if saved filters are available in the current AssetIQ version.

## Review an activity from filtered results

After locating an activity:

1. Select the calendar entry or list row.
2. Review the summary.
3. Confirm the resource and activity reference.
4. Check its dates, location and status.
5. Open the underlying record for full details.

Do not update or reschedule an activity based only on the shortened calendar label.

## Confirm hidden commitments before allocation

Before allocating a resource:

1. Clear the activity-type filter.
2. Review all relevant statuses.
3. Expand the date range.
4. Check the complete resource schedule.
5. Review maintenance and inspections.
6. Confirm planned unavailability.
7. Consider transport and turnaround time.
8. Open related records.

This prevents a filtered calendar from giving a false impression of availability.

## Work with large schedules

When many activities are displayed:

- Narrow the date range
- Select a location
- Filter by resource group
- Search by asset number
- Use timeline or list view
- Hide completed or cancelled activities where appropriate
- Review one activity type at a time for analysis
- Clear filters before confirming availability

Apply only the filters necessary for the task.

## No results found

If no activities appear:

1. Check the search spelling.
2. Clear the search field.
3. Expand the date range.
4. Clear activity-type filters.
5. Include additional statuses.
6. Confirm the location and business unit.
7. Check the organization.
8. Confirm your permissions.
9. Refresh the calendar.
10. Verify that the underlying activity was saved.

No results do not prove that no activity exists.

## Results appear incomplete

Check whether:

- Pagination limits the list
- The calendar displays only the visible period
- Filters remain active
- Completed or cancelled activities are hidden
- The resource belongs to another business unit
- Your role restricts access
- The activity has no schedulable dates
- The underlying record has not been confirmed

## Common issues

### Search finds the wrong asset

Use the unique asset number rather than a common description.

### A scheduled activity disappears after filtering

Check whether its status, activity type, location or date falls outside the selected criteria.

### The schedule appears empty after changing views

Confirm the new view’s date range and active filters.

### Clear Filters does not restore all activities

Remove the search text, reset the date range and refresh the page.

### A saved filter shows outdated results

The filter criteria may still be correct, but the underlying schedule has changed. Review the current activities and dates.

### An expected resource is missing from the filter list

The resource may be inactive, outside your access, assigned to another organization or not configured as schedulable.

### The filtered schedule shows no conflict

Clear the filters and review all activity types before confirming availability.

## Recommended practices

When searching and filtering:

- Use unique references
- Confirm the date range
- Review active filters
- Apply only relevant criteria
- Combine filters carefully
- Clear filters before confirming availability
- Open underlying records
- Include relevant statuses
- Check hidden activity types
- Use saved views only where supported
- Give saved filters clear names
- Refresh after major updates
- Treat zero results cautiously
- Confirm permissions when results appear incomplete
