# Troubleshoot Report and Dashboard Data

## Overview

If information in an AssetIQ report or dashboard appears missing, outdated or inconsistent, first confirm the report scope, filters, date range and source records.

Many apparent reporting problems are caused by differences in filters, permissions, status definitions or the date field used by the report. Following a consistent diagnostic process can help identify the cause before the issue is escalated.

> **Important:** Do not change an asset or operational record solely to make a report display an expected value. Confirm that the source information is genuinely incorrect before updating it.

## Before you begin

Before troubleshooting, record:

- The name of the dashboard, report or metric
- The AssetIQ organization you are using
- The expected result
- The result currently displayed
- The selected date range
- Any active filters
- The affected asset, job, inspection or rental identifiers
- When the problem was first noticed
- Whether another user sees the same result

Taking a screenshot before changing the filters can help preserve evidence of the original problem.

## Follow the recommended diagnostic order

Review the following areas in sequence. This helps identify common causes before investigating individual records.

## 1. Confirm the organization and report

Make sure that:

- You are signed in to the correct AssetIQ organization
- You have opened the intended dashboard or report
- You are viewing the correct report tab or section
- The report applies to the type of record you are investigating
- You are comparing the same report version or saved view as another user

Reports with similar names may use different data, filters or calculation rules.

## 2. Define the exact problem

Describe the issue as specifically as possible.

For example:

**Preferred:** “The Maintenance dashboard shows 12 overdue jobs, but the filtered job list shows 10 for the same location and date.”

**Avoid:** “The dashboard is wrong.”

Identify whether the problem involves:

- A missing record
- An unexpected record
- An incorrect total
- A blank value
- An outdated value
- A duplicated row
- An incorrect date
- A mismatch between a chart and an exported file
- A report that will not load

A clear description makes the investigation more efficient.

## 3. Check the date range

Confirm the report’s selected date range and whether any default range was applied automatically.

Common ranges may include:

- Today
- This week
- This month
- This quarter
- This year
- A custom period

Check the start and end dates carefully. Some reports may include the end date, while others may treat it as the beginning of the next reporting period.

## 4. Confirm which date the report uses

Different reports may use different date fields.

For example, a maintenance report could use:

- Date created
- Scheduled date
- Due date
- Completion date
- Closed date

An inspection report could use:

- Inspection creation date
- Scheduled date
- Conducted date
- Submission date
- Approval date

A record may be excluded even when it appears relevant if the report uses a different date from the one you expected.

## 5. Review all filters

Check for active filters such as:

- Location
- Business unit
- Asset category
- Asset status
- Job or inspection status
- Assigned user
- Priority
- Date range
- Rental status
- Audit or inspection type
- Search text

If available, select **Clear Filters**, **Reset** or the corresponding action, then apply the required filters again.

Also check whether:

- A filter was retained from an earlier session
- Multiple filters are being applied together
- A blank or default value limits the results
- Search text is still active
- A saved view applies predefined criteria

After changing the filters, confirm that the displayed record count changes as expected.

## 6. Check your access and organizational scope

AssetIQ may restrict report information according to the user’s role and organizational access.

Two users may see different results because they have access to different:

- Business units
- Locations
- Assets
- Teams
- Operational functions
- Report types

If records are visible to another user but not to you, ask your AssetIQ administrator to confirm your role and data-access scope.

Do not request broader access unless it is required for your responsibilities.

## 7. Understand the metric definition

A dashboard metric may not represent the same information as a simple list count.

For example, a metric may count:

- Unique assets rather than individual records
- Open jobs rather than all jobs
- Overdue items as of the current date
- Completed inspections rather than submitted inspections
- Rentals active during a selected period
- Assets with at least one defect
- Inspection findings rather than inspection records

Before comparing two values, confirm that they use the same:

- Record type
- Statuses
- Date basis
- Filters
- Grouping method
- Calculation period

> **Tip:** Compare the report’s description, column headings and filter labels before concluding that two totals should match.

## 8. Check status definitions

Review the status of the affected records.

A record may be excluded because it is:

- Draft
- Scheduled
- In progress
- Submitted
- Awaiting review
- Approved
- Completed
- Cancelled
- Closed
- Archived
- Inactive

The exact statuses depend on the AssetIQ module and your organization's configuration.

For overdue reporting, check whether the record has both:

- A due date earlier than the relevant reporting date
- A status that the report treats as incomplete

A completed record may continue to appear overdue if the completion or closure information was not saved correctly.

## 9. Check the source record

Open an affected source record and confirm its current information.

Depending on the report, review fields such as:

- Asset number
- Asset status
- Location
- Business unit
- Category
- Assigned user
- Scheduled date
- Due date
- Completion date
- Inspection result
- Job status
- Rental start and return dates
- Quantity
- Cost
- Utilization information

If the source record is incorrect, update it only through the approved AssetIQ process and only if you are authorized.

## 10. Refresh the report

After changing a source record or filter:

1. Save the source record.
2. Return to the report or dashboard.
3. Select **Refresh**, if available.
4. Reload the page if necessary.
5. Reapply the required filters.
6. Check the results again.

Some reporting information may take time to reflect recently saved changes. If the dashboard displays a **Last Updated** time, compare it with the time of the source-record change.

## 11. Drill down to the underlying records

If a dashboard allows you to select a chart, metric or data point, open the related record list.

Review several example records and confirm:

- Why each record is included
- Which date and status it uses
- Whether the filters were carried into the detail view
- Whether the list represents all records or only a subset
- Whether any expected records are absent

Drilling down is often the quickest way to understand how a metric was calculated.

## 12. Check pagination and result limits

A report may contain more records than are visible on the first page.

Check:

- The total number of results
- The number of records displayed per page
- Whether additional pages are available
- Whether the report has a maximum result limit
- Whether the export includes the current page or all filtered records

Do not compare the rows on one page with a dashboard total unless the entire result set is displayed.

## 13. Investigate duplicated results

A report may display multiple rows for one asset when the asset has multiple related records.

For example, one asset may have:

- Several maintenance jobs
- Multiple inspections
- More than one recorded finding
- Several rental transactions
- Multiple assignments or transfers

Confirm whether the report counts assets, transactions or related activities.

Also check whether parent assets, components or attachments appear as separate records.

## 14. Investigate blank or unknown values

A report may display values such as:

- Blank
- Unknown
- Unassigned
- Not specified
- No category
- No location

These values often indicate that the relevant source field is empty, inactive or unavailable to the user.

Open a sample record and confirm whether the required master-data value has been selected correctly.

If many records contain blank values, review the relevant data-entry process before correcting them in bulk.

## 15. Check calculations and rounding

Calculated results may differ because of:

- Rounding
- Percentage precision
- Grouping rules
- Excluded statuses
- Partial reporting periods
- Missing source values
- Different units of measure
- Different currency settings

For percentage-based metrics, confirm the numerator and denominator.

For example, an inspection completion rate may be calculated as:

`Completed inspections ÷ inspections due during the reporting period`

This may differ from dividing completed inspections by every inspection in the system.

## 16. Check time zones and date boundaries

Dates may appear different when users, organizations or reports use different time zones.

This can affect:

- Records created near midnight
- Daily dashboard totals
- Start and end dates
- Completion dates
- Overdue calculations
- Exported timestamps

Confirm the organization's reporting time zone and compare the full date and time where available.

## 17. Compare the on-screen results with the export

If the exported file does not match the screen:

1. Confirm that the same filters were active.
2. Check whether the export includes all pages.
3. Confirm when the export was generated.
4. Check whether summary rows are excluded from the export.
5. Confirm whether the export contains raw records or aggregated results.
6. Review the exported column headings.
7. Generate a new export after refreshing the report.

Editing an exported file does not change AssetIQ.

## 18. Check the browser and display

If the report does not load or display correctly:

- Refresh the page
- Sign out and sign in again
- Confirm that your internet connection is stable
- Try an approved supported browser
- Check whether browser zoom affects the display
- Disable unsupported browser extensions temporarily
- Clear the relevant site data if permitted
- Try the report from another authorized device

Do not clear stored browser information if doing so would remove data or settings you still require.

## Common reporting issues

### The dashboard is empty

Check the organization, date range, filters and your access scope. Clear the filters and confirm that relevant source records exist.

### An expected record is missing

Confirm the record’s status, date, location and business unit. Check which date field the report uses and whether your role can access the record.

### The report contains too many records

Look for cleared or overly broad filters. Confirm whether the report includes cancelled, archived or historical records.

### A dashboard metric differs from a list total

Confirm that both screens use the same filters, dates, statuses and counting method. One may count unique assets while the other counts activities or transactions.

### Two users see different totals

Compare their organization, permissions, saved views, filter selections and time zones.

### Recently changed information is not visible

Confirm that the record was saved successfully. Refresh the report and check its last-updated time, if displayed.

### A completed item still appears overdue

Check that the record’s completion or closure status and date were saved. Confirm which statuses the overdue report excludes.

### The chart and table show different figures

Check whether the chart groups or summarizes the data while the table displays individual records. Also review pagination and rounding.

### The exported results do not match the report

Confirm the export scope, filters, generation time and whether all pages were included.

### Utilization appears incorrect

Review the selected period, availability assumptions, rental or booking dates, asset status and overlapping activity. Confirm how utilisation is defined for the report.

### A date is one day earlier or later

Check the organization's time zone, the user’s time zone and whether the source value includes a time.

### The report contains duplicate rows

Confirm whether the report displays one row per asset or one row per related inspection, finding, job or transaction.

### The report is slow or does not finish loading

Reduce the date range or scope, remove unnecessary grouping and try again. If the problem continues, record the filters and time of the attempt before escalating it.

## Correct source-data problems safely

If the investigation confirms that a source record is incorrect:

1. Open the affected record in AssetIQ.
2. Confirm the correct information using reliable evidence.
3. Use the approved edit, transfer, assignment, completion or correction process.
4. Save the change.
5. Refresh the relevant report.
6. Confirm that the corrected information is displayed.
7. Retain any required evidence or approval.

Do not make corrections only in an exported spreadsheet. AssetIQ should remain the source of current operational information.

## Escalate a confirmed reporting issue

If the problem remains after completing the troubleshooting steps, provide the following information to your AssetIQ administrator or support contact:

- Organization name
- Dashboard or report name
- Report section or metric
- Expected result
- Actual result
- Selected date range
- Active filters
- Affected record identifiers
- Example source records
- Date and time the issue occurred
- User role, where relevant
- Browser and device information
- Screenshot of the issue
- Exported example, if relevant
- Troubleshooting steps already completed

Do not include passwords, access tokens or unrelated confidential information.

## Recommended practices

When investigating report and dashboard data:

- Confirm the report definition before comparing totals
- Check the organization, dates and filters first
- Use sample source records to test the result
- Compare like-for-like data
- Consider permissions and organizational scope
- Refresh reports after authorized corrections
- Avoid changing valid records to force a desired result
- Record evidence before escalating an issue
- Treat AssetIQ as the source of current operational data
- Protect exported reports appropriately
