# Understand the Scheduling Calendar

## Overview

The AssetIQ scheduling calendar provides a time-based view of planned and active resource commitments.

Depending on the modules and features enabled for your organization, the calendar may display activities such as rentals, maintenance, work orders, inspections, audits and periods of resource unavailability.

Use the calendar to understand what is planned, identify possible conflicts and open the related AssetIQ records for further review.

> **Important:** An empty period on the calendar does not automatically mean that a resource is available or ready for use. Review its status, location, condition, maintenance and inspection requirements.

## Open the scheduling calendar

1. Sign in to AssetIQ.
2. From the sidebar, open **Scheduling**, **Resource Planning**, **Calendar** or the corresponding module.
3. Wait for the schedule to load.
4. Confirm the displayed date range.
5. Review any active location, resource or activity filters.

The exact menu and page names depend on the current AssetIQ interface.

## What the calendar displays

A calendar entry may represent:

- Rental job
- Maintenance order
- Work order
- Asset inspection
- Asset audit
- Planned resource unavailability
- Internal operational activity
- Another configured scheduled record

Each entry may show information such as:

- Activity title
- Reference number
- Asset or resource
- Activity type
- Status
- Start date and time
- End date and time
- Location
- Responsible person
- Priority
- Conflict indicator

The level of detail shown depends on the selected calendar view and available screen space.

## Calendar structure

The scheduling screen may contain:

- Date navigation
- Today button
- Calendar-view selector
- Resource rows or columns
- Time scale
- Activity entries
- Search
- Filters
- Legend
- Status or conflict indicators
- Activity-detail panel
- Scheduling actions

The exact arrangement may differ between desktop, tablet and mobile screens.

## Calendar views

Depending on your configuration, AssetIQ may provide one or more calendar views.

### Day view

Day view displays activities for a single date.

Use it to:

- Review detailed daily work
- Check activity start and end times
- Coordinate same-day resource movements
- Identify time-specific overlaps
- Review dispatch, maintenance or inspection activity

Day view is useful when precise timing is important.

### Week view

Week view displays activities across a seven-day or working-week period.

Use it to:

- Plan upcoming operational work
- Review near-term asset commitments
- Coordinate preparation and transport
- Identify activities finishing or starting soon
- Monitor expected returns

This is often the most practical view for routine operational planning.

### Month view

Month view provides a broader picture of scheduled activities.

Use it to:

- Review future demand
- Identify busy periods
- Plan maintenance windows
- Monitor longer rental periods
- Identify gaps requiring further investigation
- Review work across several weeks

Because less detail fits on each entry, open the activity record before making decisions.

### Timeline view

A timeline displays activities horizontally across a time scale.

Resources may appear in separate rows, making it easier to compare commitments.

Use it to:

- Review one asset’s schedule
- Compare several resources
- Identify overlapping activities
- Review the sequence of rentals and maintenance
- Check turnaround time between activities

### Resource view

Resource view groups scheduled activities by asset, equipment category or another resource type.

Use it to:

- Compare available periods
- Review competing commitments
- Identify heavily scheduled resources
- Find possible alternative assets
- Examine scheduling patterns

### List view

List view displays scheduled activities as rows rather than calendar blocks.

It may be useful for:

- Sorting by date
- Reviewing detailed references
- Searching large numbers of activities
- Exporting or printing
- Viewing activities on smaller screens

Use only the views available in your AssetIQ environment.

## Change the calendar view

To change views:

1. Open the calendar.
2. Locate the view selector.
3. Choose **Day**, **Week**, **Month**, **Timeline**, **Resource** or the available option.
4. Confirm the displayed date range.
5. Review whether existing filters remain active.

Changing the view does not normally change the underlying records.

## Navigate between dates

Use the calendar navigation to move to:

- Previous period
- Next period
- Today
- A selected date
- A selected week or month

To return to the current date, select **Today** or the corresponding action.

After navigating, confirm the displayed date range before interpreting the schedule.

## Understand resource rows

In a resource-based view, each row may represent:

- Individual asset
- Asset category
- Equipment group
- Location
- Facility
- Another configured resource

Check the row label carefully before reviewing its activities.

Assets with similar descriptions should be distinguished using their unique asset numbers.

## Understand calendar entries

A scheduled activity may appear as a colored bar, card or block.

Its position indicates:

- Start date or time
- End date or time
- Duration
- Assigned resource
- Relationship to other activities

The displayed block may represent planned rather than actual time.

Open the activity to confirm its detailed dates and current status.

## Open a calendar entry

To review an activity:

1. Select or click the calendar entry.
2. Review the summary or pop-up.
3. Confirm the activity type and reference.
4. Review the resource, dates, location and status.
5. Select **View Details**, **Open Record** or the corresponding action if further information is required.

The underlying record may open in Rental Management, Maintenance, Inspections or another AssetIQ module.

## Calendar colors

Calendar colors may indicate:

- Activity type
- Status
- Priority
- Location
- Business unit
- Availability
- Another configured classification

Always check the calendar legend before interpreting a color.

For example, red might mean:

- Scheduling conflict
- Overdue activity
- High priority
- Maintenance activity
- Another organization-specific meaning

Do not rely on color alone. Review the entry’s label, status and details.

## Calendar legend

The legend explains the colors, icons or patterns used on the schedule.

The legend may identify:

- Rentals
- Maintenance
- Inspections
- Audits
- Unavailability
- Completed activities
- Pending activities
- Conflicts
- Overdue items

If a displayed indicator is unclear, confirm its meaning before changing the schedule.

## Status indicators

Calendar entries may show statuses such as:

- Draft
- Scheduled
- Confirmed
- Pending
- In Progress
- Active
- Overdue
- Completed
- Cancelled
- Unavailable

The same status word may have different meanings in different modules.

For example, **Active** on a rental means the rental is underway, while an active asset lifecycle status means that the asset remains part of the operational asset register.

Open the underlying record when the status meaning is important.

## Planned versus actual activities

The calendar may display:

- Planned dates
- Actual dates
- Revised dates
- A combination of these values

For example:

- A rental may display its planned start and revised return dates
- A maintenance order may display its scheduled work period
- A completed inspection may show its planned date rather than submission time

Review the underlying record to confirm whether dates are planned, revised or actual.

## Multi-day activities

Activities continuing across several days may appear as:

- One continuous calendar bar
- Repeated daily entries
- A start and end marker
- Another configured display

Open the entry to confirm the complete duration.

Do not assume that a multi-day activity occupies the resource continuously unless the related business process indicates that it does.

## Activities outside the visible period

A long-running activity may start before or end after the displayed period.

The calendar may show:

- An arrow
- A truncated bar
- A continuation indicator
- A partial entry

Navigate to the previous or next period or open the activity to review its full dates.

## Overlapping activities

Overlapping entries may indicate:

- A valid related activity
- A potential scheduling conflict
- Several activities forming part of the same job
- A data-entry error
- An approved exception
- Different times within the same day
- An activity that does not exclusively reserve the resource

Do not assume every visual overlap is an error.

Open both records and confirm:

- Exact dates and times
- Activity types
- Asset or resource
- Statuses
- Location
- Whether each activity reserves the resource
- Approval or exception information

## Scheduling conflict indicators

AssetIQ may indicate a conflict using:

- Warning icon
- Highlighted border
- Alert message
- Color
- Conflict label
- Blocking validation

A conflict may result from:

- Two rentals using the same asset
- Rental overlapping maintenance
- Inspection overlapping operational use
- Resource unavailability
- Insufficient turnaround time
- Location incompatibility
- An extended activity
- Another configured rule

## Gaps between activities

A visible gap may still be insufficient because the resource requires:

- Return transport
- Cleaning
- Inspection
- Maintenance
- Refueling or charging
- Reconfiguration
- Loading
- Delivery
- Site preparation

Review the full operational requirement before allocating the resource.

## Filters and the calendar

Active filters may hide relevant commitments.

Filters may limit the calendar by:

- Asset
- Resource group
- Activity type
- Location
- Business unit
- Status
- Responsible user
- Date
- Priority

Before concluding that a resource has no scheduled work, check which filters are active.

## Search within the schedule

Where search is available, you may be able to find activities using:

- Activity reference
- Asset number
- Asset description
- Rental-job reference
- Maintenance-order reference
- Location
- Responsible user

Use a unique identifier where possible.

Clear the search to restore the complete schedule.

## Refresh the calendar

The schedule may need to be refreshed after another user:

- Creates an activity
- Changes dates
- Records an extension
- Returns an asset
- Completes maintenance
- Cancels a job
- Changes resource availability

Use **Refresh**, reload the page or reopen the calendar according to the interface.

Do not make an important allocation decision using information you know may be outdated.

## Drag-and-drop behavior

If AssetIQ supports drag-and-drop, moving an entry may change:

- Start date
- End date
- Assigned resource
- Another scheduling field

Before moving an entry:

1. Confirm you have permission.
2. Open the underlying record.
3. Understand what will change.
4. Review dependent activities.
5. Check required approval.
6. Confirm the new dates and resource.
7. Resolve any warning.
8. Record the reason where required.

Avoid experimenting with drag-and-drop on live operational records.

## Resize an activity

If calendar entries can be resized, extending or shortening the block may change the activity dates.

Before confirming:

- Check the new duration
- Review availability
- Check future commitments
- Review maintenance and inspections
- Confirm the change with responsible users
- Update related documents

Do not visually shorten an activity to remove a conflict unless the underlying business dates have genuinely changed.

## Read-only calendar access

Some users may have permission to view the schedule but not change it.

Read-only users may still be able to:

- Navigate dates
- Change views
- Apply filters
- Search activities
- Open permitted records
- Review availability

If scheduling controls are unavailable, your role may be read-only.

## Mobile and smaller-screen use

On smaller screens:

- Fewer details may appear
- Entries may be grouped
- Horizontal scrolling may be required
- List view may be easier to use
- Filters may appear in a separate panel
- Full details may require opening the activity

Use a desktop or larger screen for complex multi-resource planning where practical.

## Common issues

### The calendar appears empty

Check:

- Date range
- Active filters
- Selected location
- Selected resource group
- Search term
- Organization
- Permissions

### An expected activity is missing

Confirm that:

- The underlying record was saved
- Required dates are present
- The status allows it to appear
- The correct resource is assigned
- The active filters include its type
- The record belongs to the selected organization

### The same activity appears more than once

It may involve multiple resources or separate asset lines. Open each entry before reporting it as a duplicate.

### The displayed dates look incorrect

Open the underlying record and compare planned, revised and actual dates.

### The calendar has not updated

Refresh it and confirm that the originating record was saved successfully.

### A color is unclear

Check the legend or open the entry. Do not rely on assumptions.

### Two activities overlap

Review both records and determine whether the overlap is valid, related or conflicting.

### The calendar shows a free period, but the asset cannot be selected

The asset may have an operational, location, maintenance, inspection or permission restriction not represented as a calendar entry.

## Recommended practices

When using the scheduling calendar:

- Confirm the displayed date range
- Check active filters
- Use unique asset identifiers
- Review the legend
- Open entries before making decisions
- Distinguish planned and actual dates
- Investigate overlaps
- Allow turnaround time
- Review the underlying record
- Refresh after important updates
- Avoid unapproved drag-and-drop changes
- Do not treat calendar gaps as guaranteed availability
- Use list or timeline views for detailed comparison
- Keep related records current
