# View Asset and Resource Schedules

## Overview

AssetIQ allows authorized users to review scheduled activities for individual assets and other configured resources.

A resource schedule can help you understand:

- Current activities
- Future commitments
- Previous activities
- Periods of unavailability
- Maintenance and inspection requirements
- Potential scheduling conflicts
- Resource location changes
- Available planning periods

You can review schedules from the shared Scheduling calendar or, where available, from an individual asset or resource record.

> **Important:** A calendar gap does not guarantee that a resource is available, operational or suitable. Review its complete asset record before allocating it.

## Before you begin

Before reviewing a schedule, confirm that:

- You are signed in to the correct organization
- You can access Scheduling and the required resource
- You know the resource number or category
- The required date range is understood
- Active filters have been reviewed
- Your role permits access to related activities

Some activities may remain hidden because of your permissions.

## View a schedule from the Scheduling calendar

1. Sign in to AssetIQ.
2. Open **Scheduling**, **Resource Planning** or the corresponding module.
3. Select a resource, timeline or calendar view.
4. Navigate to the required date range.
5. Search for or filter by the resource.
6. Review its scheduled activities.
7. Open individual entries for additional details.

Confirm that the resource row or column displays the correct unique asset number.

## View a schedule from an asset record

Where AssetIQ provides related scheduling information:

1. Open **Assets** or **Asset Management**.
2. Search for the required asset.
3. Open the asset record.
4. Confirm the asset number and description.
5. Open **Schedule**, **Calendar**, **Activities**, **Related Records** or the corresponding section.
6. Review past, current and future activities.
7. Open a related record where more detail is required.

The asset-level schedule may provide a more focused view than the shared calendar.

## Search for a resource

Use a reliable identifier such as:

- Asset number
- Serial number
- Registration number
- Resource number
- QR code
- Another unique identifier

Avoid relying only on generic descriptions such as “forklift” or “generator.”

If the required resource does not appear:

- Clear active filters
- Expand the date range
- Confirm the resource group
- Check its active status
- Confirm your business-unit access
- Verify that it is configured as a schedulable resource

## Select the date range

Choose the period relevant to your planning task.

Examples include:

- Today
- This week
- Next week
- This month
- Next 30 days
- Next quarter
- Custom date range
- Historical period

Use a wider date range when evaluating long-term availability.

An activity may start before the selected range and continue into it. Check for continuation indicators.

## Review current activities

Current activities may include:

- Active rental
- Maintenance in progress
- Work order
- Inspection
- Audit
- Transport
- Preparation
- Planned unavailability
- Another configured activity

Confirm:

- Activity reference
- Current status
- Start and end dates
- Location
- Responsible user
- Whether the resource is operational
- Expected completion or return

Do not assume that a current activity will finish on time solely because it has a planned end date.

## Review future commitments

When evaluating future availability, review:

- Confirmed activities
- Scheduled activities
- Provisional or draft reservations
- Planned maintenance
- Inspections
- Certification renewal
- Resource unavailability
- Transport and preparation
- Components and accessories
- Activities immediately before and after the proposed period

A provisional activity may still represent a genuine operational requirement.

## Review previous activities

Historical schedules may help you understand:

- Previous rentals
- Maintenance history
- Inspection history
- Common locations
- Repeated delays
- Recurring unavailability
- Asset utilization
- Turnaround time
- Previous scheduling conflicts

Open the underlying records when detailed history is required.

Historical calendar information should not be edited merely to simplify the display.

## Understand schedule entry information

A schedule entry may display:

- Activity title
- Reference
- Resource
- Activity type
- Status
- Start date
- End date
- Location
- Responsible person
- Priority
- Warning or conflict indicator

Open the entry to confirm whether its dates are:

- Planned
- Revised
- Actual
- Estimated

## Review planned versus actual dates

A resource history may contain:

| Date | Meaning |
| --- | --- |
| Planned start | Expected beginning |
| Actual start | When activity physically began |
| Planned end | Original expected completion |
| Revised end | Updated expected completion |
| Actual completion | When work or use actually ended |

These values support delay and planning analysis.

Do not replace planned dates with actual dates when separate fields are available.

## Compare several resources

Use a resource or timeline view to compare multiple assets.

This can help you:

- Find possible alternatives
- Compare future commitments
- Identify heavily used resources
- Review maintenance windows
- Coordinate a group of assets
- Find periods when several resources are available together

Before comparing resources, confirm that they are technically suitable for the same requirement.

## Compare resources by category

Filter or group resources by:

- Asset category
- Equipment type
- Capacity
- Location
- Business unit
- Another configured attribute

For example, you may compare all mobile cranes at one location.

Do not assume that every resource in a category has the same capacity, configuration or certification.

## Review components and accessories

If the required work needs supporting equipment, review the schedules of:

- Attachments
- Lifting gear
- Batteries
- Chargers
- Cables
- Remote controls
- Safety equipment
- Other separately controlled components

The main asset may be free while an essential component is unavailable.

## Review resource location

The schedule may show activities at different locations.

Confirm:

- Current physical location
- Previous activity location
- Proposed activity location
- Next activity location
- Transport time
- Loading requirements
- Site access

A resource may have a calendar gap but insufficient time to move between sites.

## Review turnaround time

Allow enough time after an activity for:

- Return
- Transport
- Unloading
- Cleaning
- Inspection
- Maintenance
- Repair
- Refueling or charging
- Reconfiguration
- Loading and delivery

Do not treat adjacent activities as automatically compatible.

## Review unavailability periods

Unavailability may be represented by:

- Calendar block
- Status indicator
- Maintenance record
- Inspection restriction
- Work order
- Another configured record

Open the entry and confirm:

- Reason
- Start date
- Expected end date
- Responsible user
- Linked work
- Return-to-service requirement

## Review conflicts and warnings

A schedule may show:

- Direct overlap
- Resource warning
- Maintenance conflict
- Location conflict
- Unavailability
- Another configured alert

For every warning:

1. Open the activity.
2. Confirm the resource.
3. Review exact dates.
4. Check status.
5. Review location.
6. Check the originating records.
7. Determine whether action is required.

## Use filters carefully

Filters can help focus the schedule but may also hide commitments.

Before confirming availability:

- Clear the activity-type filter
- Include relevant statuses
- Check the complete date range
- Review all locations where appropriate
- Remove search terms
- Confirm the organization and business unit

A resource with no displayed rentals may still have maintenance or unavailability.

## Open the underlying activity

To view detailed information:

1. Select the calendar entry.
2. Review its summary.
3. Confirm the activity type.
4. Select **View Details**, **Open Record** or the corresponding action.
5. Review the source record in its module.

Use the underlying record to confirm:

- Current status
- Dates
- Resource commitment
- Operational restrictions
- Responsible users
- Related activities

## Assess availability for a proposed period

Before deciding that a resource is available:

1. Confirm the proposed start and end dates.
2. Review the full resource schedule.
3. Include preparation and transport time.
4. Check current activities.
5. Review future commitments.
6. Check maintenance and inspections.
7. Review operational status.
8. Confirm location.
9. Check components.
10. Investigate warnings.

Availability should be considered together with suitability and readiness.

## Identify possible alternative resources

If the preferred resource is unavailable:

1. Search for resources with matching capability.
2. Compare their schedules.
3. Confirm their operational condition.
4. Review locations.
5. Check inspections and certifications.
6. Confirm required components.
7. Select the most appropriate available option.

Do not select an alternative solely because its calendar has fewer activities.

## Refresh the schedule

Refresh the calendar after:

- Rental extension
- Asset return
- Maintenance completion
- Inspection result
- Resource substitution
- Activity cancellation
- Unavailability update
- Date change

Confirm that the latest information appears before making a planning decision.

## Common issues

### The asset-level schedule is unavailable

Your AssetIQ version may provide schedule information only through the shared calendar, or your role may lack permission.

### An expected activity is missing

Check filters, dates, activity status, resource assignment and the underlying record.

### The resource looks free but cannot be scheduled

Review operational status, maintenance, inspection, location and hidden activity types.

### The resource appears in two places at once

Open both records and determine whether there is a scheduling conflict, duplicate record or historical data issue.

### Historical activities are missing

Expand the date range and include completed or cancelled statuses.

### The schedule differs from the asset status

Schedule and operational status represent different information. Review the asset record and related work.

### An entry appears under the wrong resource

Confirm the underlying activity assignment and correct it through the authorised process.

## Recommended practices

When reviewing resource schedules:

- Use unique asset numbers
- Confirm the date range
- Clear restrictive filters
- Review current and future activities
- Include provisional commitments
- Open underlying records
- Compare planned and actual dates
- Check location and transport
- Allow turnaround time
- Review components and accessories
- Check unavailability
- Investigate warnings
- Confirm operational readiness
- Refresh after schedule updates
- Do not treat calendar gaps as guaranteed availability
