Overview #
AssetIQ allows authorised users to export asset audit results for analysis, reporting and record keeping.
Before exporting, review the selected audit, apply the required filters and confirm that the results are complete. Exported audit information may then be used to investigate discrepancies, prepare internal reports or retain evidence of the completed audit.
Before you begin #
Before exporting audit results, confirm that:
- You have access to the Asset Audits module
- Your role allows you to view and export audit information
- The correct audit has been selected
- The audit results have been submitted or completed
- Required discrepancies have been reviewed
- Any necessary filters have been applied
- Your device allows downloaded files to be saved
Privacy: Exported audit files may contain asset, location, assignment or user information. Store and share them according to your organisation’s information-security policies.
Open the audit results #
- Sign in to AssetIQ.
- From the sidebar, open Asset Audits.
- Find the required audit.
- Open the audit record.
- Navigate to its results, summary or report section.
- Review the information displayed.
Confirm the audit name, type, scope and date before exporting.
Review the audit summary #
Before downloading the results, review the audit summary for information such as:
- Total assets included
- Assets successfully verified
- Assets with discrepancies
- Assets not found
- Assets that could not be verified
- Incomplete audit items
- Audit status
- Assigned auditor
- Audit completion information
This helps ensure that you are exporting the correct audit and that its results are ready for use.
Filter the results #
If filtering is available, use it to limit the exported information to the records you need.
Available filters may include:
- Verification result
- Discrepancy status
- Asset location
- Business unit
- Asset category
- Asset status
- Assigned user
- Audit status
- Audit date
- Individual asset
For example, you may filter the results to export only assets with discrepancies.
Tip: After applying filters, review the number of displayed records before exporting. This helps prevent incomplete or unintended results.
Export the audit results #
To export the displayed results:
- Open the required audit-results screen.
- Apply the necessary filters.
- Review the displayed records.
- Select Export, Download or the corresponding action.
- Choose an available file format if prompted.
- Confirm the export.
- Wait for the file to be generated.
- Save the downloaded file in an approved location.
The available export format depends on the current AssetIQ configuration.
Check the exported file #
After downloading the file:
- Open it using a compatible application.
- Confirm that the correct audit is shown.
- Check that the expected records are included.
- Confirm that filters were applied correctly.
- Review headings, dates and identifiers.
- Check that important fields are not blank or truncated.
- Rename the file according to your organisation’s naming convention, if required.
Do not rely on an exported report until you have checked that it is complete.
Information that may be included #
Depending on the AssetIQ version and export configuration, the exported results may include:
- Audit name
- Audit type
- Audit status
- Audit date
- Auditor
- Asset number
- Asset description
- Serial number
- Asset category
- Recorded location
- Verified location
- Business unit
- Assigned user or custodian
- Verification result
- Discrepancy details
- Auditor notes
- Reviewer comments
- Completion information
The exported file may not contain every item displayed on the AssetIQ screen.
Export all results or filtered results? #
Before exporting, decide whether you need the entire audit or a selected subset.
Export all results when: #
- Retaining a complete audit record
- Preparing a full audit report
- Providing evidence for an internal or external review
- Analysing overall audit performance
- Archiving the completed audit
Export filtered results when: #
- Reviewing only discrepancies
- Following up on missing assets
- Sending location-specific results to a manager
- Investigating a particular asset category
- Preparing a focused corrective-action list
Use a complete export for record retention whenever required by your organisation’s policies.
Suggested file-naming convention #
Use a consistent filename so the export can be identified later.
A recommended format is:
AssetIQ_Audit_[Audit-Name]_[Completion-Date]
For example:
AssetIQ_Audit_Melbourne-Warehouse_2026-09-30.xlsx
Avoid filenames such as:
export.xlsxaudit-new.csvresults-final-final.xlsx
Include the audit name and date whenever possible.
Use the exported results #
Exported results can support activities such as:
- Audit reporting
- Discrepancy investigation
- Corrective-action tracking
- Data-quality analysis
- Management review
- Internal-control testing
- Compliance evidence
- Asset-register reconciliation
- Follow-up audit planning
Where possible, use AssetIQ as the primary source for current asset information. An exported file represents the information available when it was generated and may become outdated.
Protect exported audit information #
After exporting the results:
- Save the file only in an approved location
- Limit access to authorised users
- Avoid sending sensitive files through unapproved channels
- Apply password protection or encryption where required
- Follow your organisation’s retention policy
- Delete duplicate working copies when they are no longer needed
- Confirm that external recipients are authorised before sharing
Exported information is no longer protected by AssetIQ’s role-based access once it has been downloaded.
Common issues #
The Export button is unavailable #
Your role may not have permission to export audit results. Contact your AssetIQ administrator or audit owner.
The exported file is empty #
Check whether filters excluded all records. Clear or adjust the filters and try again.
Some audit results are missing #
Confirm that the audit is complete and that all asset results were saved or submitted. Also check whether an active filter is limiting the export.
The downloaded file cannot be found #
Check your browser’s download history and default Downloads folder. Your browser may also have blocked the download.
The file does not open correctly #
Make sure you are using an application compatible with the exported format. Download the file again if it may be incomplete.
The exported data looks outdated #
The file represents audit information at the time of export. Return to AssetIQ, confirm the current information and generate a new export if required.
Changes made in the exported file do not appear in AssetIQ #
Editing a downloaded file does not update AssetIQ. Make authorised corrections directly in AssetIQ using the appropriate process.

When exporting audit results:
- Confirm the audit and filters before exporting
- Review discrepancies before preparing the final report
- Check the downloaded file for completeness
- Use a consistent file-naming convention
- Store files in an approved location
- Restrict access to authorised users
- Treat AssetIQ as the source of current asset information
- Generate a new export when updated information is required
- Retain final reports according to organisational policy
