Reports are only as reliable as the underlying AssetIQ records.
Important: Review the filters, date range, definitions and data quality before using a report to make an operational, financial or compliance decision.
Dashboard, report and export #
These terms serve different purposes.

A dashboard may summarize information that can be explored through a detailed report.
An export is a point-in-time copy and does not update automatically when AssetIQ data changes.
How reporting works #
A typical reporting process includes:
- Select the dashboard or report
- Confirm its purpose and definitions
- Select the date range
- Apply relevant filters
- Review summary metrics
- Open or drill into supporting records
- Verify unexpected results
- Export information where required
- Retain or share it securely
Do not rely solely on a summary number when detailed records are required.
Open Reports and Analytics #
- Sign in to AssetIQ.
- From the sidebar, open Reports, Analytics, Dashboards or the corresponding module.
- Review the available report categories.
- Select the required dashboard or report.
- Confirm the default date range and filters.
The exact menu names and report options depend on your organisation’s AssetIQ configuration.
Reports available to you #
Your access may depend on:
- Assigned role
- Organization

If an expected report is unavailable, contact your AssetIQ administrator.
Do not assume that another user sees the same reports or data scope.

Only include report categories that exist in the current AssetIQ interface.
Understand key metrics #
A metric is a calculated value that summarises data.
Examples may include:
- Total assets
- Active assets
- Overdue maintenance
- Open work orders
- Failed inspections
- Active rentals
- Overdue rentals
- Asset utilization percentage
- Average maintenance duration
Before interpreting a metric, understand:
- What records it includes
- What records it excludes
- Which status values are counted
- Which date field is used
- Whether filters are active
- When the data was refreshed
- Whether cancelled or archived records are included

Count versus value #
Reports may display different measurement types.

Confirm the unit before interpreting the result.
For example, 42 might represent assets, work orders, operating hours or a financial value depending on the report.
Date ranges #
A report may use:
- Current date
- Today
- This week
- This month
- This quarter
- This year
- Last 30 days
- Custom range
- Another configured period
Confirm which date field controls the report.
For example, a maintenance report might use:
- Planned start date
- Due date
- Completion date
- Created date
Different date fields can produce different results for the same period.
Planned, revised and actual dates #
AssetIQ records may include several dates.

Select and interpret the appropriate date basis for the reporting purpose.

Filters may include:
- Date range

- Business unit
- Activity type
- Work-order status
- Inspection result
- Rental status
- Responsible user
- Priority
- Another configured field
Active filters affect both summary metrics and detailed results.

Default filters #
A report may open with predefined filters such as:
- Current month
- Active records only
- User’s business unit
- Current location
- Excluding cancelled records
Review the selected filters every time you open a report.
Do not assume the default view contains the complete dataset.
Drill down into report data #
Where drill-down is available:
- Select a metric, chart segment or report row.
- Review the supporting records.
- Confirm the applied filters.
- Open an individual record if necessary.
- Return to the report without losing the context where possible.
Drill-down helps explain what contributes to a summary value.
Charts and tables #
Reports may use:
- Summary cards
- Bar charts
- Line charts
- Pie or donut charts
- Tables
- Trend indicators
- Status distributions
- Another visual format
Charts communicate patterns, while tables usually provide more detailed information.
Do not estimate an exact value from a chart when a detailed table or export is available.
Status definitions #
A report may group records by statuses such as:
- Draft
- Pending
- Scheduled
- Active
- In Progress
- Overdue
- Completed
- Cancelled
- Archived
Status meanings depend on the module.
For example, an Active rental and an Active asset lifecycle status represent different concepts.
Review the report definition and underlying records.
Overdue metrics #
A record may be considered overdue when:
- Its due date has passed
- Its expected return date has passed
- It is not in a completed or cancelled status
- It meets another configured condition
An overdue metric depends on accurate due dates and statuses.
If the count seems incorrect, review:
- Missing completion records
- Unrecorded extensions
- Incorrect due dates
- Cancelled records
- Time-zone effects
- Report filters
Asset utilization #
Where utilization reporting is available, confirm how it is calculated.
Possible methods include:
- Rented days divided by available days
- Scheduled time divided by reporting-period time
- Operating hours divided by available hours
- Active-use days divided by calendar days
- Another configured calculation
A utilization percentage is not meaningful without its definition and reporting period.
Data freshness #
Report data may update:
- Immediately
- After the underlying record is saved
- When the page is refreshed
- At scheduled intervals
- After a data-processing job
- According to another configured process
Check for a Last Updated or refresh timestamp where available.
If recent activity is missing:
- Confirm the source record was saved.
- Refresh the report.
- Review active filters.
- Check the report’s update timing.
- Contact the AssetIQ administrator if necessary.
Data quality #
Reporting problems often originate in the source data.
Common data-quality issues include:
- Missing asset categories
- Incorrect locations
- Incomplete statuses
- Missing due dates
- Unrecorded returns
- Work orders not closed
- Duplicate assets
- Inconsistent master data
- Missing meter readings
- Incorrect date values
Correct authorized information in the underlying record rather than editing only an exported report.
Current information versus historical reporting #
AssetIQ may report:
- Current state
- Historical activity
- Events during a period
- Point-in-time snapshots
- Another configured basis
For example:
- “Assets currently at Melbourne” is a current-state report.
- “Assets rented to Melbourne during August” is a historical-activity report.
These reports answer different questions.
Export report data #
Where export is available, you may be able to download:
- Displayed report data
- Filtered records
- Detailed rows
- Summary information
- Another available scope
Before exporting:
- Confirm the report
- Check filters
- Review the record count
- Confirm the date basis
- Verify sensitive information
- Confirm export permission

Protect report information #
Reports and exports may contain:

Follow your organization’s:

An exported file is no longer protected by AssetIQ’s role-based access controls.
Verify important results #
Before using a report for a significant decision:
- Confirm the report definition.
- Check the date range.
- Review active filters.
- Confirm the data-refresh time.
- Drill into supporting records.
- Verify a sample of source records.
- Investigate unexpected values.
- Document any limitation.
Do not rely on a report whose underlying data appears incomplete or inconsistent.
Common issues #
An expected report is unavailable #
Your role, organization, subscription or configuration may not provide access.
The dashboard appears empty #
Check filters, date range, organization, business unit and permissions.
A metric differs from a list count #
The dashboard and list may use different statuses, date fields, filters or update times.
Recent activity is missing #
Refresh the dashboard and confirm that the underlying record was saved.
The report includes unexpected records #
Review default filters, status definitions and date basis.
A chart and table show different totals #
Check whether the chart groups or excludes records differently.
Exported data does not match the screen #
Confirm whether the export includes all rows, only visible rows or a different dataset.
Changes to an exported file do not appear in AssetIQ #
Exports are separate point-in-time files. Make authorized corrections in AssetIQ.
