Overview #
An active rental may need to be updated when dates, contacts, locations, equipment requirements or operating conditions change.
Before extending or changing the rental, assess the effect on asset availability, maintenance, inspections, transport and other scheduled commitments. Record the reason and retain an accurate history of what was originally planned and what changed.
Important: Do not overwrite original planned or actual information merely to make the rental appear on time. Use revised-date, extension or change-history fields where AssetIQ provides them.
Before you begin #
Before updating an active rental, confirm that:
- The correct rental job is open
- The rental is active
- You understand the requested change
- The change has the required authority
- Affected assets have been identified
- Future commitments can be reviewed
- Related operational and commercial documents can be updated
- You have permission to edit active rentals
Some fields may be locked after dispatch to preserve transaction history.
Changes that may occur during a rental #
An active rental may require updates such as:
- Extending the return date
- Shortening the rental period
- Changing the expected return location
- Updating the site contact
- Updating delivery or collection instructions
- Adding another asset
- Returning one asset early
- Substituting a faulty asset
- Recording a new accessory
- Updating operational notes
- Recording a fault or damage
- Applying an asset-use restriction
- Changing the responsible coordinator
- Correcting an authorized administrative error
Use the specific AssetIQ process for the required change where one is available.
Open the active rental #
- Sign in to AssetIQ.
- Open Rental Management or Rental Jobs.
- Find the required active rental.
- Open the rental record.
- Confirm its reference, recipient and location.
- Review the active assets.
- Check the planned return date.
- Review existing notes, extensions and restrictions.
Confirm that you have selected the correct rental before making any change.
Review the current rental position #
Before updating the record, review:
- Original planned rental period
- Actual dispatch date
- Current expected return date
- Individual asset statuses
- Current asset location
- Existing extensions
- Future rental commitments
- Scheduled maintenance
- Upcoming inspections or certification expiry
- Open faults or work orders
- Outstanding accessories
- Customer or project contact
- Related commercial references
This review helps identify the broader effect of the proposed change.
Extend the rental period #
Use the extension process when one or more assets need to remain rented beyond the current expected return date.
Before approving an extension:
- Confirm the requested new return date.
- Identify which assets are affected.
- Check future rentals and reservations.
- Review scheduled maintenance.
- Check inspection and certification validity.
- Consider transport and turnaround time.
- Confirm customer, project or management approval.
- Review related commercial requirements.
- Resolve any conflict.
- Record the reason for the extension.
An extension should not be treated as a simple date edit.
Check availability for the extended period #
Recheck every affected asset from the original return date through the proposed revised return date.
Look for:
- Confirmed future rentals
- Provisional reservations
- Planned maintenance
- Mandatory inspections
- Certification expiry
- Internal allocations
- Transport bookings
- Asset replacement plans
- Disposal or retirement activity
Also include sufficient time after return for transport, inspection, maintenance and preparation.

Check maintenance requirements #
Determine whether the asset will become due for maintenance during the extended period.
Review:
- Calendar-based service dates
- Operating-hour thresholds
- Distance-based servicing
- Safety inspections
- Calibration
- Registration
- Certification expiry
- Manufacturer requirements
- Existing work orders
Possible responses include:
- Complete maintenance before approving the extension
- Arrange authorized maintenance at the rental site
- Shorten the extension
- Substitute another asset
- Decline the extension
- Apply an authorized service plan
Do not extend a rental in a way that causes mandatory maintenance or certification to be missed without appropriate technical approval.
Record the extension #
Where AssetIQ provides an extension function:
- Open the active rental.
- Select Extend Rental, Change Return Date or the corresponding action.
- Enter the proposed revised return date.
- Select the affected assets where required.
- Enter the extension reason.
- Add approval information.
- Review availability warnings.
- Resolve identified conflicts.
- Confirm the extension.
- Check that the new expected return date is displayed.
- Review the rental status.
Preserve the original planned return date where AssetIQ provides separate original and revised fields.
Record the reason #
Use a clear extension reason, such as:
- Project completion delayed
- Additional work scope approved
- Replacement equipment unavailable
- Customer requested continued use
- Site demobilization date changed
- Weather delayed operations
- Transport collection rescheduled
Avoid vague explanations such as:
- Extended
- Required longer
- Customer request
- Date changed
Include the approving person or reference where required.
Resolve an extension conflict #
If the extension conflicts with another commitment, possible resolutions include:
- Decline or shorten the extension
- Supply a replacement asset to the current rental
- Assign another asset to the future rental
- Reschedule the future commitment with approval
- Complete required maintenance at the rental site
- Arrange an earlier partial return
- Escalate the competing priorities
Do not silently remove an asset from another confirmed job.
Record the authorized decision and notify affected users.
Extend only selected assets #
A rental containing several assets may require an extension for only some of them.
For example:

Where asset-level dates are available:
- Select the affected assets.
- Enter their revised dates.
- Keep unaffected asset dates unchanged.
- Recheck availability individually.
- Record planned partial returns.
- Notify dispatch and return teams.
Do not extend the entire job unnecessarily when only selected assets remain out.
Shorten the rental period #
If assets will return earlier than planned:
- Confirm the revised expected return date.
- Update collection or transport arrangements.
- Notify the receiving location.
- Confirm readiness for return inspection.
- Update related commercial documents where required.
- Record the reason.
- Review whether the asset can support another commitment.
Do not mark the asset as returned until it is physically received and verified.
An earlier expected return does not make the asset immediately available.
Update the rental contact #
If the responsible contact changes:
- Open the rental details.
- Confirm the new contact’s identity and role.
- Update the appropriate contact field.
- Retain relevant previous communication where required.
- Notify operational users.
- Confirm who can authorize changes or accept the return.
Avoid replacing contact history with unstructured notes if AssetIQ provides dedicated contact fields.
Change the rental location #
If the asset moves to another site during the active rental:
- Confirm that the movement is authorized.
- Record the new location.
- Enter the effective date.
- Confirm the responsible contact.
- Review transport and site-access requirements.
- Check whether the asset is suitable for the new environment.
- Review insurance, compliance or commercial implications.
- Notify affected users.
- Preserve the previous location history.
Do not change the rental destination solely because the asset was temporarily moved without authorisation.
Add another asset #
If additional equipment is required:
- Review the new requirement.
- Search for a suitable asset.
- Check its condition and availability.
- Add it to the active rental.
- Record its asset-level rental dates.
- Complete required preparation and inspection.
- Record its actual dispatch.
- Update related references and notifications.
Do not mark the new asset as active before it is physically dispatched.
Return an asset early #
Where only one asset is no longer required:
- Confirm the early return.
- Arrange transport or collection.
- Record the actual return when received.
- Inspect the asset.
- Verify accessories.
- Update its asset-level status.
- Keep the remaining rental assets active.
- Review the overall rental-job status.

Substitute an asset #
Substitution may be required because of:
- Breakdown
- Safety restriction
- Unsuitable capacity
- Changed project needs
- Maintenance requirement
- Damage
- Certification issue
To substitute an asset:
- Record the reason.
- Record any fault or damage against the original asset.
- Determine whether it can continue operating safely.
- Arrange its return where required.
- Select a suitable replacement.
- Check the replacement’s availability.
- Add it to the rental job.
- Complete pre-dispatch checks.
- Dispatch the replacement.
- Preserve both assets in the rental history.
Do not overwrite the original asset reference with the replacement.
Record a fault or damage #
If a problem occurs during the rental:
- Confirm the affected asset.
- Record what happened.
- Assess whether continued use is safe.
- Stop or restrict use where required.
- Notify the responsible person.
- Create the appropriate fault, inspection finding or work order.
- Add photographs and evidence.
- Record any replacement or repair arrangement.
- Update the rental notes and asset status where authorized.
Do not wait until the return to document a safety-critical issue.
Update operational restrictions #
If the asset can only continue under defined conditions, record:
- The restriction
- Reason
- Effective date
- Authorizing person
- Required controls
- Review date
- Whether another inspection is required
Examples include:
- Reduced operating capacity
- Restricted working area
- Daylight use only
- Monitoring requirement
- Temporary component restriction
- Use permitted until a specified date
Only an appropriately authorized person should approve restricted operation.
Update commercial references #
If the rental period or scope changes, related documents may also need updating, such as:
- Quotation
- Purchase order
- Contract
- Sales order
- Delivery record
- Invoice instruction
Enter new references in their designated fields where available.
Note: Updating AssetIQ’s rental record may not automatically change the related commercial or finance-system records.
Add supporting documents #
Attach relevant evidence such as:
- Extension approval
- Revised purchase order
- Customer request
- Updated delivery instruction
- Site-change approval
- Fault photographs
- Maintenance plan
- Replacement confirmation
- Revised transport booking
Confirm that each attachment is current and linked to the correct rental.
Review the change before saving #
Confirm:
- The correct rental is open
- The correct assets are affected
- Revised dates are accurate
- Availability was rechecked
- Maintenance and inspections were considered
- Conflicts were resolved
- Required approval is recorded
- The change reason is clear
- Contacts and locations are correct
- Related documents are updated
- Affected users will be notified
- Original history remains traceable
Save and confirm the update #
After reviewing the change:
- Select Save, Update, Confirm Extension or the corresponding action.
- Review any warning.
- Confirm the update.
- Check the revised information.
- Review job-level and asset-level statuses.
- Confirm the change appears in history.
- Notify affected users.
If the update creates a warning, do not assume it was successfully resolved merely because the record saved.
Monitor the revised rental #
After the update:
- Monitor the revised return date
- Check planned maintenance
- Follow up on open faults
- Track replacement assets
- Confirm future allocations remain valid
- Review overdue status
- Maintain operational restrictions
- Coordinate the return
An extension may solve an immediate scheduling need while creating future risks that still require monitoring.
Correct an unauthorized or incorrect change #
If a change was entered incorrectly:
- Stop further processing.
- Record what is wrong.
- Contact the rental coordinator or administrator.
- Do not erase valid historical information without authority.
- Use the approved correction or reversal process.
- Recheck affected allocations.
- Notify users relying on the incorrect information.
Corrections should remain traceable.
Common issues #
The Extend Rental action is unavailable #
The rental may be in an incompatible status, your role may lack permission or the job may already be returned or completed.
The new date creates a conflict #
Review the conflicting rental, maintenance activity or inspection. Resolve it before confirming the extension.
The rental remains overdue after extension #
Confirm that the revised date was saved and approved and that all affected asset lines were updated.
Only one asset needs extending #
Use asset-level dates where available. Do not extend unrelated assets.
A field cannot be edited #
The field may be locked after dispatch. Use the dedicated change process or contact the AssetIQ administrator.
A replacement asset cannot be added #
Check its availability, operational status, location and your permission to modify an active rental.
The active asset develops a fault #
Record and escalate the fault. Do not simply remove it from the rental or change its status to returned.
The extension was recorded after the return date #
Document the actual approval timing and investigate why the rental became overdue. Do not alter historical dates to conceal the delay.
